Privacy cookie policy

AXI, operating under the name Anchr, respects and protects your privacy. 
This privacy statement explains what personal data AXI collects from you and how and why we use and protect this data.


Applicability

This policy applies to AXI NV, AXI BV and Ground Lion NV, hereafter referred to as “Anchr”.

AXI NV is the parent company and thus designated as the responsible party for the processing of your personal data. 

The contents of this privacy statement apply to data processing through Anchr’s websites, services, apps and software, and in general to the communications Anchr has with you.

To optimally serve you and your company, it is necessary for Anchr to keep and use contact details and other information about you. 

Your personal data is processed by us in accordance with the GDPR (General Data Protection Regulation) or AVG (General Data Protection Regulation). This regulation has been in effect since 25 May 2018.


Personal data we collect and use

Anchr collects and uses personal data only for specific reasons. We always limit ourselves to what is truly necessary.

  • As part of our contractual agreements, we obviously keep track of contact details (name, position, address, postcode, city, email address and phone number) to communicate with you about similar products or services. 
  • If Anchr employees receive your business card with contact details, these will be entered into our CRM system so that Anchr can maintain contact with you. 
  • Through the form on our websites, through direct or phone conversations or when signing up for an event, we give you the opportunity to provide us with your contact details (name, position, address, postcode, city, email address and phone number) and your interests. With your consent, we will then use this data to email you information about our products and services. In every communication via email, we give you the opportunity to unsubscribe. 
  • At trade shows/events, Anchr may take photographs for promotional and/or marketing purposes, including the use of photographs on LinkedIn or other social media. In such cases, Anchr will strive to obtain your prior consent before taking or using the photo. If you object to the use of a photo, you can notify Anchr, after which Anchr will promptly delete the relevant photo. 
  • Additionally, we may use your data to invite you to participate in a voluntary customer or market survey. Sometimes, other companies conduct this research on our behalf. We then share your email address or phone number with those companies, and they are of course also required to adhere to this privacy policy. 
  • The Anchr websites use cookies. We use necessary cookies, preference cookies, statistical cookies, and marketing cookies. 

The necessary cookies are minimally required to ensure that the Anchr websites function correctly. According to the law, we are allowed to store necessary cookies on your device. For all other types of cookies, we need your consent.

Preference cookies allow us to optimise your user experience. With explicit consent, preference cookies collect information about your choices and preferences, such as language and region. The information collected by preference cookies does not infringe on your right to privacy. 

Statistical cookies are used for analysis and research. With explicit consent, statistical cookies map the use of the Anchr websites anonymously. The information that statistical cookies collect does not infringe on your right to privacy.

Marketing cookies are used to track you when you visit the various Anchr websites. The marketing cookies generate data about how you use the Anchr websites in the CRM software used by Anchr. They facilitate optimal interaction with social media such as LinkedIn and Facebook. They also enable us to provide you with relevant advertisements. 

Through the CookieBot cookie bar on the Anchr websites, you can change your cookie preferences. In your browser settings, you can exclude cookies, but you may not be able to use certain functionalities as a result. If you want to know more about cookies and how to delete or block them, we invite you to refer to 'Help' in your browser.

  • Candidates are informed from the beginning of the procedure that their CV may be retained in the recruitment reserve for a maximum of 3 years in Belgium and 4 months in the Netherlands, to potentially contact them for similar positions. After that, they will be completely deleted.
  • To safeguard our property, CCTV cameras have been installed around and inside our buildings. Recordings are kept for a maximum of 4 weeks but are only accessed, viewed and retained longer (until the incident is resolved) if an incident has occurred.

How do we secure your data?

  • Our commitment to information security and the quality of management processes is confirmed by the NEN-EN-ISO/IEC 27001:2017 certification and the ISAE 3402 type II report. 
  • All employees of Anchr sign a confidentiality agreement, in which they commit to treating information they encounter in the context of their role as strictly confidential. They follow clear guidelines, receive training, and are regularly reminded of their responsibilities.
  • Anchr has a highly secure ICT infrastructure, largely based in external Tier 3 data centres within the European Economic Area.
  • Personal data will not be processed for our own purposes or those of third parties and will not be forwarded to a country outside the European Economic Area unless that country offers adequate protection.
  • If Anchr makes use of external parties, partners or subcontractors for certain services, we enter into processing agreements that specify their confidentiality and information security obligations. If your data is entrusted to them, they receive clear instructions and these data are used only for that purpose. 

Retention periods

Your data is treated with care to ensure it is accurate and up-to-date. We retain your data for as long as necessary to comply with our contractual and/or legal obligations. Thereafter, all remaining personal data is deleted or anonymised in accordance with our client agreements. 

As a general rule:

  • Invoices and contact details for the execution of the agreement are kept for 7 years in connection with the statutory retention obligation.
  • Photos are retained for a maximum of 1 year.
  • Camera footage - unless an incident has occurred - is retained for a maximum of 4 weeks.

Your rights as a data subject

  • You have the right to request, correct or supplement the data we collect about you. 
  • Under certain conditions, you also have the right to request that we erase your data or keep it but not further process it (e.g., for the substantiation of a legal claim). 
  • If you believe that Anchr is not processing your personal data lawfully or is violating the law, you have the right to file a complaint with the Data Protection Authority (in Belgium) or with the Dutch Data Protection Authority (in the Netherlands). 
  • If we process your data based on consent you have provided, you also have the right to transfer your personal data to another data controller.


Changes and questions

Questions about the processing of your personal data or requests to correct, supplement or delete this data can be submitted online or emailed to our data protection officer at DPO@anchrsoftware.com or sent by post to AXI NV, Data Protection Officer, Molenweg 107, 2830 Willebroek (Belgium), after which we will respond to you within four weeks at the latest. 

You can also direct all other questions regarding personal data to our data protection officer, who can be reached through the aforementioned contact details.
This privacy statement may be modified by us. The modified version will always be made known on our website.
